How to upload an IEEE conference paper (LaTeX) to IEEE Conference eXpress?
EDAS maybe the most well-know platform that supports the full conference lifecycle, but recently IEEE Conference eXpress came into my eyes since I have to upload an accepted IEEE conference paper (VTC2021-Spring) to it. I found that the procedures for uploading the final paper seem unfamiliar to me and trouble me for a while. Thus, I just want to write this short blog post to record what you have to do to upload the LaTeX source files for an IEEE paper to Conference eXpress.
IEEE Conference eXpress provides a full range of publishing service options — from collecting author source documents and copyright forms to delivery of completed conference proceedings. Your conference will provide instructions to help you with the final preparation and submission of your paper. You should always check the official ones as direct references.
Below are some general steps for uploading your final paper.
1. Conference Registration
Pay for your accepted paper and, in your receipt, you will find a Reference number that needs to be used for further steps. Below is the screenshot of my receipt for IEEE VTC2021.
2. Create your IEEE Conference eXpress author account
You will need the conference ID in this step. In my case, it is vtc21spr.
3. Upload your source document
I used the LaTeX temple from IEEE to create my documents. You will be asked to generate a DVI file and include relevant figures in the .eps form. I also include IEEEtran.cls and .tex files to make sure this dumb system can find any file it needs. All files need to be compressed in a .zip or .rar file.
Click on Submit New Title and fill in all the requested info there. You will be asked to upload all the source files in a .zip or .rar compressed archive.
If something goes wrong, you will see a red triangle (maybe yellow) under Action. You can download the error message by clicking on the triangle to see what is wrong there. Here is a message contained in the error.txt.
The provided INPUT file is not valid to convert and validate:-Unable to found main tex file.
Sometimes, you may also get a .log file which can used to debug your LaTeX files locally to solve all the problems. I made a mistake of using the wrong encoding, leading to the failure of compiling a .pdf file.
If nothing is wrong, you will see a message saying that you succeed and will also receive an email containing the compiled .pdf file.
4. Approve the PDF created from your source document
5. Finalize your IEEE Xplore metadata
6. Submit the IEEE Electronic Copyright Form
